Administrative permission is required to access the portal Settings. For more information, contact your supplier's point of contact.

Overview

Contact Fields are custom data definitions that you add to contact records. They allow you to capture and store information that is not collected through the standard contact record used by your supplier. For example:

  • Specific regulatory information
  • Preferences that will help to deliver a better experience for the customer
  • Product details
  • Formal greetings
  • Internal codes, for example in association with a CRM

Custom fields can also support the use of Membership Rules to create very specific contact lists dynamically.

A set of general fields is provided for contact data - First Name, Last Name, Company, Title, Work Phone, Mobile Phone, Email, Address 1, Address 2, City, Postal Code, State, Country. You can add any of these, plus any of your custom Contact Fields, to contact forms you manage in your portal. For more information about contact forms, see Contacts > Modify Your Contact Form.

General and custom Contact Fields can be used in contact lists, emails, and other content that you may be creating. Add the equivalent Merge Field in the content to have the value generated dynamically based on current context. For information about the Merge Fields, see Default Merge Fields for Contact Lists.

If you're importing contacts to your portal, values from fields that exactly match general fields will be populated automatically. You have the opportunity during an import to map any custom fields in the contacts to a general field or to an existing custom field, or to create a new custom field. Add a Contact Field

Administrators can add up to twenty custom Contact Fields.

  1. Navigate to portal_settings_icon.png > Settings in your partner portal.
  2. Select Contact Fields from the left-hand sidebar. The page shows a list of existing custom Contact Fields and their associated Merge Field label.

    For a list of general contact fields and their associated merge fields, see Default Merge Fields for Contact Lists.

  3. Click New Contact Field.
  4. Provide the following information:

    Parameter  Type  Description
    Name  Text

    This is the user-friendly name for the field. It will be used to generate a merge field that you can use to dynamically populate content later. 

    This must be unique and must not match the name of a general contact field.

    Description  Text [Optional] This is a short description of the field. We recommend that you use it to provide information about the use and purpose of this field. 
    Type Radio Button This is the field type. You can choose one from Text, Number, or Date and Time.

  5. Click Save. The new field is added to the Contact Fields list, along with its default Merge Field label (in the form z123_contact field name).

Notes about Custom Contact Fields

  • You can provide values for your custom Contact Fields when creating Contacts in your portal. For more information about Contacts, see Contacts.

  • You can include custom Contact Fields in any Contact Form you create in your portal. For more information about Contact Forms, see Contact Forms for Contact Lists.

  • When viewing a contact, values for your custom Contact Fields display in the contact's Contact Profile. You may have to click Edit Details to display the information.

    Note: Values for your supplier's custom data fields appear in the Additional Data section of the contact information.

    Information captured in general contact fields is listed under Contact Profile.

  • Custom Contact Fields (yours or your supplier's) are included in exports of contact/lead lists, as well as general fields.
  • Custom Contact Fields can’t be used as a replacement for general fields. For example, a custom field z123_additionalemail will not be used for emails if the general field Email Address is not provided.
