Email Collateral

Overview

You can send collateral directly from the portal to your contacts. The benefit of using this approach is that it will be collated with your other activities and you will be able to view reports that correlate emails with other campaign activities. 

You can use Reports > Analysis > Visitors to see data from this task. You personalize a piece of collateral, copy the distribute link, and sends emails to prospects. How do you understand what happened with the collateral and the email. This report will show the info below for a campaign. You can also see details on individual leads. You will also be able to see this on the individual leads.

How to Email Collateral from the Portal

You can email collateral assets either to single contacts, or to many recipients simultaneously.

  1. Navigate to any of the Collateral submenu items. 
  2. Click on the items you would like to include in the email message. An item is selected and will be included when it has a border around it. You can toggle between selected and unselected by clicking on the item. 
  3. Click Email Selected to open the email wizard. 
  4. In the Email Collateral window, select whether to add this email to an Existing Campaign or a New Campaign. For both options, you will need to provide the name of the campaign to associate this email with.  
  5. Provide a New Email Name. This is required. It is the identifying name for this specific email and is used for reporting purposes. 
  6. Click Create.  
  7. In the Settings tab, provide or edit the following information:

    Parameter  Type  Description
    Email Name Text  This is pre-populated with the name you provided in the previous screen and is used to identify this email.
    Email Subject Text  This is pre-populated with the name you provided in the previous screen and appears as the subject line of the email.
    Sender Name Text  This will be pre-populated with your portal user name. Recipients will see this as the sender. 
    Sender Email  Text  This will be pre-populated with the email address associated with your portal account. 
    Reply to Email Text [Optional] Use this field to route replies to your email to an address other than the sender email address. 
    Notifications   Select or add any addresses that you would like to notify regarding this email.
  8. Click Save & Next
  9. In the Personalize Email tab, configure your email as required.  You can start from a blank page or by selecting a Template from the drop-down menu. If required, you can create a new email template
  10. [Optional] Use the Preview or Send Test options to view the email as it will appear to recipients. 
  11. Click Save & Next.
  12. In the Collateral tab, click-and-drag the selected collateral into the desired order. 
  13. [Optional] You can add more collateral items by entering their name in the Add Collateral field.
  14. Click Save & Next
  15. In the Recipients tab, select or add the email addresses of people you want to send this email to. 
  16. Click Save & Next
  17. In the Scheduling tab, check the preview to ensure the email appears as it should. 
  18. Select Send Now to send the email as soon as you click Schedule or set a time and date that you would like the email sent.
  19. Click Schedule.

How to Cancel a Scheduled Email

This procedure is only available until the email has been sent. You cannot unschedule or recall a sent email.

  1. Navigate to CampaignsMy Campaigns.
  2. Click the hyperlinked name of the campaign the email is associated with. 
  3. Click Unschedule.
