Set Up Deal/Lead Funnels

This feature currently only supports the Salesforce CRM integration.


The Funnels feature is an additional Salesforce CRM integration in the partner portal that automates your Deal Registration and/or Lead Registration process with your supplier. By setting up this integration, you and your team can:

  • Reduce time spent on manual data entry

  • Work on a platform you and your team already know well

  • Prevent duplicate work caused by having to register a Deal and/or Lead in both your partner portal account and CRM software

Funnels allow you to pull both your Deals and Leads from your CRM into your partner portal by creating separate Funnels.

Deal Registration is a mechanism that allows you to tell suppliers when you have identified and are developing a new Deal. It is a longstanding program that aims to eliminate potential channel conflict and provide better visibility into your sales pipeline and performance. Learn more here.

Lead Registration is a process that allows you to register or refer a Lead and disclose it to your supplier. This process is valuable because it helps minimize the friction that potential competition for the same Deal might cause with your supplier's internal sales teams or other partners. Learn more here.

Before You Begin

Make sure you have correctly connected your Salesforce CRM to your partner portal. You can do so by following this step-by-step guide.

Additionally, make sure you understand the fields available in your Salesforce CRM account setup and determine whether you’d like to set up a Deal Funnel or a Lead Funnel.

Set up a Deal or Lead Funnel

Once your Salesforce CRM is integrated with your partner portal account and you have determined whether you will be setting up a Deal Funnel or a Lead Funnel, follow the steps below:

Important Note

If you are not able to complete all of the steps in one sitting, when you return to the set-up at a later date you will need to re-enter your Salesforce CRM password again in Step 1: Connect before proceeding to the next steps. You should not need to enter a new Security Token, even if the Token field is blank.

  1. Navigate to portal_settings_icon.png > Settings.

  2. Select Funnels in the left-hand sidebar.

  3. Click Create new Funnel.

  4. Follow the multi-step process to set up your Deal or Lead Funnel.

    Note: At any point in this multi-step process, you can click the Test Connection button to ensure your selected CRM is connected to your partner portal.

    1. Connect



      Salesforce requires non-API users to enable multi-factor authentication (MFA). Zift recommends creating and using a SalesForce API user to ensure there are no interruptions in your Salesforce integration. To learn more, visit the Salesforce Knowledge Base.

      1. In the Select Your CRM field, choose Salesforce.

      2. Enter the Username and Password for your Salesforce account.

      3. Enter the Login Domain of your CRM.

      4. Retrieve a Security Token from your Salesforce account.

        Learn how to do this by following Step 2 in the Salesforce Integration Guide.

      5. Click Next.

    2. Select Funnel Type


      1. Select your Funnel Type
        • Deal (Auto Deal Registration from your CRM -> Partner Portal)

          This type of funnel will pull deals from your CRM and automatically register them with your supplier. Additionally, it will (optionally) pass back the deal status to your CRM.

        • Lead (Auto Lead Registration from your CRM -> Partner Portal)

          This type of funnel will pull leads from your CRM and automatically register them with your supplier.

      2. Select your CRM Object Type

        Select the CRM object that the Deals or Leads will be created from, for example, Opportunity.

      3. Click Next.

    3. Map Fields


      1. In this step, you match the objects necessary to create a Deal or Lead in your partner portal with fields from your CRM.

        1. The first column, Field in your CRM, displays the fields from your Salesforce CRM.

        2. The second column shows if the field is Required or Optional and displays arrows that tell you whether the field is incoming or outgoing.

          Incoming fields send information from your CRM into the object in your partner portal.

          Outgoing fields allow your partner portal field data to be sent back to your CRM.

          Note: Many fields are automatically matched from your CRM into your partner portal. Make sure to review the fields and ensure the Required fields all have a selection. Alternatively, you can check the Use default value instead option and enter a hard-coded value.

        3. The third column, Object Field, displays the object fields that are necessary to create a Deal or Lead in your partner portal account.

      2. Important

        If the Object Field has possible values and the incoming field from your CRM doesn't match one of those values, that field will be skipped (but the object will import into this system). If the field is outgoing, this will result in an error and the sync for that item will fail.

      3. Click Next.

    4. Filter


      This step allows you to add filters for any of the fields coming from your CRM, outlined in Step 3 above. For example, you may only want to bring over any deals over a certain $ amount or only leads from a specific country.

      1. Apply Filter
        1. Click the Add Filter Condition button.

        2. In the dropdown that appears, select the Field in your CRM that you'd like filter against.

        3. Designate the condition using these options:

          • Equals
          • Does Not Equal
          • Contains
          • Does Not Contain
        4. Enter the Filter Value.

          For example, Billing Country (Field in your CRM) Equals United States (Filter Value)

      2. The Preview of the object type you selected will show you the deals or leads that match the filter condition(s) you specified above. If nothing is shown, check the condition you've set to make sure it is correct.

      3. Click Next.

    5. Review


      1. This step is a final check that displays the success of your previous 4 steps. If completed correctly, a green arrow will show next to each step that was completed.

      2. The Pull data created/updated since date defaults to the date that the funnel was created. The funnel will pull in any items created in Salesforce after that date. If you want to bring in existing data created earlier in Salesforce, change the pull date by clicking Change and picking an earlier date.
      3. Click Activate to start the automation process for your Deal or Lead Registration.

    6. Complete


      This step confirms that your Funnel setup is complete. You can pause or resume the Funnel at any time.

View Import and Export Logs

Each Lead/Deal Funnel runs every 2 hours.

Navigate to portal_settings_icon.png > Settings > Funnels and click View Logs to see the most recent import and export logs.


View Import Logs shows you which Deals/Leads were created from the run.

View Export Logs shows you which data was exported to your CRM from the run. This data is based on the values you set under Outgoing Field Values in Step 3 of the Set Up a Deal or Lead Funnel process.


Pause and Resume a Deal or Lead Funnel

To pause a Deal/Lead Funnel:

  1. Navigate to portal_settings_icon.png >Settings > Funnels.
  2. Click the Username or the Funnel Type for the desired Funnel.
  3. Click Pause.

    Your Funnel will now be paused until you resume the connection.

To resume a Deal/Lead Funnel:

  1. Navigate to portal_settings_icon.png > Settings > Funnels.
  2. Click the Username or the Funnel Type for the desired Funnel.
  3. You will be returned to Step 1 of the Set Up a Deal/Lead Funnel process. Re-enter the Password to your specified CRM and click Next.

  4. Review/edit steps 2-5 of the  Set Up a Deal/Lead Funnel process to re-activate the Funnel. 

  5. When you click Activate on Step 5, the Funnel will resume the automation process for your Deal/Lead Registration.
