Manage Campaigns

Overview

A campaign is a collection of marketing activities that includes emails, email workflows, web plugins, multimedia assets, online ad campaigns, or any combination of these. A campaign can be supplier-provided, or you can create your own campaign. By creating campaigns, you will be able to gather data in one place for all the marketing activity around a specific product or service that is offered.

Your partner portal features two lists of campaigns. The first list, Browse Campaigns, is a list of campaigns that your supplier has made available to you. The second list, My Campaigns, is a list of supplier-provided campaigns that you have activated or CYO (Create Your Own) campaigns that you have created yourself.

In this article, we explain all the processes you need to manage activated campaigns, including how to schedule, archive, and pause campaigns, how to add recipients to campaigns, and how to check lead activity in campaigns.

In this article, we assume that you’ve already created and activated a campaign. You should be familiar with the topics covered in these articles before you are ready to manage campaigns.

How to Schedule Campaigns

Scheduling campaign activities allows you to plan and create campaigns before actually launching them. When you schedule an activity, you pick a date and time for the activity to be sent to selected recipients.

Campaigns can be scheduled in two ways. You can schedule each activity individually, or you can schedule multiple activities at one time by creating workflows.

How to Tag Campaigns

You can tag your activated campaigns with any tag of your choosing. This can help you organize your set of campaigns in the way you want. You can search for campaigns by your tags, as well as by those provided by your supplier, in My Campaigns:

To add your custom tags to a campaign:

  1. Navigate to Campaigns > My Campaigns.
  2. Click the name of the campaign you want to tag.
  3. Click New Tag.

  4. In Add a new tag, enter the tag you want to add to the campaign.
  5. Click Save. The tag is added to the campaign header.

    It's also added to a My Tags filter in My Campaigns - you can use it to search for particular campaigns later:

  6. To remove a tag from a campaign, click the X next to it in the campaign details view - you'll need to hover over the tag to reveal the X:

How to Add Recipients to Campaigns

To add or edit your recipients list in a campaign, edit the recipients of each activity contained in your campaign.

How to Add Activities to Campaigns

After activating a supplier-provided campaign, or creating your own, you can add and activate the activities. After activating the activities, you will personalize them, add contacts, and schedule them.

To add activities to an existing campaign:

  1. Navigate to Campaigns > My Campaigns.
  2. Click the name of the campaign you want to add activities to.
  3. Click Add Activity.
  4. From the dropdown menu, select the content type of the activity you want to add.

    The screen refreshes to a list of available activities of this content type. In this view, you can carry out these actions:

    Search
    Search for an activity using keywords.
    Sort
    Sort activities by Most Recent or Name.
    Preview
    Click the name of the activity to see a preview.
    Create Your Own
    If you are adding an email, you can create a new email from scratch. For more information, see Create Your Own Emails.
  5. Click Activate next to the activity you want to add.

    In the activity detail view for the new activity, you can click Review next to any required actions to personalize, distribute, schedule, and activate the activity or leave the page and save it for later.

How to Check Campaign Leads

You can find information about all the leads generated by activities associated with a campaign.

To open the Leads view for a campaign:

  1. Navigate to Campaigns > My Campaigns.
  2. Click the campaign you want to review.
  3. Click Leads in the left navigation.

    In this view, you can carry out these tasks:

    Filter by Events
    Click the All Events dropdown to change the filter used to search leads.
    Search
    Search for leads using keywords.
    View Leads list
    Review the name, number of events, campaign score, and most recent activity of all leads generated by this campaign.
    View Lead information
    Click the name of a lead to see lead details. Learn more at About Leads.
    Export
    Export a CSV file with leads data for this campaign.

    Note

    When exporting leads information, any custom fields for contacts will NOT be included. Only ZiftONE standard fields are included.

How to View Campaign Analysis Data

To view campaign analysis data:

  1. Navigate to Campaigns > My Campaigns.
  2. Click the name of the campaign you want to review.
  3. Click Analysis in the left navigation. 

    In this view, you can get this information:

    Filter by time

    Set the time filter for data to review.

    Information by timeline

    View an overview timeline visualization of email opens, email clicks, web views, web clicks, form submissions, and leads in the set time range.

    Recent Activity

    View recent activity sorted by top leads and top companies.

    • Click the name of the lead to see lead details. Learn more at About Leads.
    • Click the name of the company to see company details. Learn more at About Companies.
    Information about assets

    View activity associated with assets, such as website plugins, mailings, and social media.

    Click the name of the asset to review more in-depth data about each marketing activity, including open rate, click-through rate, bounce rate, and unsubscribe rate.

    Export
    Export a CSV file with leads data for this campaign.

    Note

    When exporting leads information, any custom fields for contacts will NOT be included. Only ZiftONE standard fields are included.

How to Edit Marketing Activity Notifications Lists

The email addresses and SMS numbers included in notifications lists will receive notification when a contact on a mailing activity completes and submits a related form. Additionally, each person set to receive email notification will also receive an email summary report 1 day, 3 days, and 7 days after the mailing is sent. The report summarizes opens, clicks, form submissions, and conversions.

To control who gets notified about email sends and email opens:

  1. Navigate to Campaigns > My Campaigns.
  2. Click the name of the campaign that contains the marketing activities you want to edit.
  3. In the campaign details view, click Edit.
  4. Under Notifications, you can add or delete email addresses and SMS numbers from the notification list.
    • To take an email address or SMS number off the list, deselect the checkbox next to the address or number. Unchecked addresses and numbers will not receive notifications.
    • To add a new email address or SMS number to the list, enter the address or number in the text box and click Add.
  5. Click Save.

How to Archive Campaigns

Archiving a campaign is really just a change in status. Campaigns cannot be deleted. Archiving or Holding moves the campaign out of the active campaign view which helps you remove clutter from it.

When a campaign is archived, all mailings scheduled for the future are canceled, and all workflows associated with the campaign are deactivated. Any mailings or activities will need to be rescheduled.

You can always restart an archived campaign. See the How to Restart Archived Campaigns section below for more.

You can change the status to activate a campaign that is on hold or in archive status from multiple locations in the partner portal by selecting the status button. Changing the status may result in mailings going out immediately, depending on the schedule for the campaign.

To archive a campaign, follow these steps:

  1. Navigate to Campaigns > My Campaigns.
  2. Click the name of the campaign you want to archive.
  3. Click Pause. After the screen refreshes, the Archive button becomes available.
  4. Click Archive.

The campaign no longer appears in your list of active campaigns. To view archived campaigns, click Archived in the Status filter to filter your My Campaigns list.

How to Cancel and Delete a Marketing Activity

If you have scheduled a marketing activity, you can cancel and delete it as long as the effective begin date hasn’t passed and the first mailing hasn’t been sent.

To cancel and delete a marketing activity, follow these steps:

  1. Navigate to Campaigns > My Campaigns.
  2. Click the name of the campaign that contains the marketing activity you want to cancel.
  3. In the Campaign Dashboard area, click the name of the activity you want to cancel.
  4. Click Unschedule. When the screen refreshes, the Delete button is enabled.

    If you want to delete the activity, continue following these steps. If you only want to cancel it, stop here. The activity is still available and still associated with the campaign, but it is no longer active. To reactivate it, you must schedule the activity again.

  5. Click Delete.
  6. You're prompted to confirm that you want to delete the activity. Click Delete again to finalize the action.

How to Restart Archived Campaigns

Archived campaigns can be restarted and reactivated.

When restarting your campaign, any mailing or activity that was scheduled in the past or in the next 24 hours will be unscheduled and will require rescheduling. This ensures that nothing gets delivered unexpectedly. Mailings that were scheduled for more than a day in advance will remain scheduled.

To restart an archived campaign, follow these steps:

  1. Navigate to Campaigns > My Campaigns.
  2. Under Status in the filters list, click Archived to display all archived campaigns.
  3. Click the name of the archived campaign you want to restart.
  4. In the Campaign Dashboard area, click Start.
  5. You're prompted to confirm that you want to restart the campaign. Click Continue to finalize.

The campaign is now active again and appears in your list in the My Campaigns view. After restarting the campaign, reschedule all activities in the campaign.

How to Pause Campaigns

You can pause an active campaign to temporarily suspend all marketing activities running in the campaign. Pausing changes the status of the campaign from Active to Paused. Learn more about campaign statuses at About Campaign Statuses.

To pause a campaign, follow these steps:

  1. Navigate to Campaigns > My Campaigns.
  2. Click the name of the campaign you want to pause.
  3. In the Campaign Dashboard, click Pause.

Pausing a campaign stops all activities that are not yet complete. Pausing also enables the Archive function.
